Facility Overview:Desert Regional Medical Center is a 385 bed acute-care hospital classified as a stroke receiving center and level 2 trauma facility with an innovative , patient centered and evidence-based Rehabilitation Services Department. Our compassionate team provides a wide range of inpatient and outpatient services, including acute care rehabilitation,joint replacement & spinal surgery, neurosurgery, ICU, Telemetry, step-down care, skilled nursing, as well as outpatient therapy, hand and lymphedema clinics.
Position Overview:To provide comprehensive secretarial and administrative services related to the Emergency/Trauma Center, as well as assisting Director and Medical Director with special projects. Performs secretarial tasks for management and staff. Works independently receiving a minimum of detailed supervision and guidance. Access to demographic information and limited Patient Health Information related to job function.
Department Specific Duties:Researches and prepares material for general projects and reports as required by the Administrative Director and Medical Director. Establishes, maintains and controls appropriate systems for receiving, processing and filing of appointments, schedules, daily correspondence, and related materials for the Administrative Director and Medical Director.Demonstrates a high degree of internal systems knowledge and creativity.Able to independently assimilate, analyze, and synthesize information.Reports are clear, concise, and definitive.Schedules appointments in a timely fashion.Effectively communicates with the Administrative Director and Medical Director to keep them informed of their appointments and correspondence on a daily basis.Originates and/or transcribes correspondence, memoranda, and minutes for the Administrative Director and Medical Director. Assists clinical staff with secretarial needs. Prepares a variety of reports for administration, management, and staff. Maintains files of correspondence, financial reports, and other business-related material. Develops forms and performs data input for specific financial management reports. Verifies and processes invoices and/or check requests for payment.Prioritizes assignments to meet pre-established deadlines.Typing performed in a timely manner.Composition and editing accurate.Prepares, transcribes, and distributes paperwork accurately in a timely fashion.Utilizes appropriate electronic and non-electronic filing procedures in a timely manner. Accurately generates new files.Provides necessary documentation to the Medical Staff Services Department as well as other outside agencies when requested.Maintain individual physician and midlevel provider files.Accurately processes confidential employee assessments; prepares paper work for new positions, transfers, and terminations.Controls timecard functions for all Emergency/Trauma Center staff. Assists with all missed punches into Kronos payroll system.Prepares and places timesheets in the Time Card binder for staff to review for accuracy.Assists with biweekly payroll for Department 7230 and Department 7235.Assists with check request for preceptor hours as well as check requests for clinical manager coverage.Exercises general control over expenses relating to job responsibility and function. Orders and maintains office supplies/forms. Prepares paper work for special purchases and capital equipment requests.Maintains an effective inventory of office supplies and forms in a cost-effective manner.Capital equipment and special purchase requests are prepared accurately; provides follow-up to ensure appropriate action is taken on requests and equipment is received in a timely manner.
Position Qualifications:Two years’ business college desired or equivalent .
