Using customer service skills, answer, and screen incoming calls, providing general information to callers regarding practice activities or referring callers as appropriate. Take phone messages as appropriate, providing Physicians with quality messages. Schedule new patient, consultation and follow-up appointments through the registration system (i.e. MCCS, PM, EPIC) appointment scheduling system. Complete clinic protocols on telephone technique, appointment making, communication and scheduling. Register/Check-in patients by verifying patient demographic and insurance information. Collect payment from patients at the time of service following departmental cashiering policies. Ability to triage patient issues to achieve resolution. Resolve patient problems related to such matters as billing, coordination of patient tests, appointments and medical records. For cancellations and no-shows, change arrival status and/or delete encounters as necessary. Maintain clinic patient flow, balancing registration requirements, patient appointment times and non-appointment activities. Using check-out sheet or verbal orders, schedule follow-up appointments, and ancillary testing appointments.
Minimum 2 year experience in working in a fast pace clinic setting, preferably in a specialty services setting
Ability to communicate professionally and effectively with physicians and staff in a high volume setting.
Excellent organizational skills and ability to prioritize assignments.
Skill in efficiently and accurately facilitating the appointment making process, including transportation arrangements and maintain sub-specialty physician schedules.
Excellent interpersonal and communication skills to coordinate multiple appointments with staff from many clinical services at the UCLA Medical Center.
Skill in using a PC with associated programs including Word, Excel, and E-mail.
Knowledge of major medical insurance plans and types of coverage provided.
Working knowledge of EPCI system and SYSM Communications systems to complete on-line transactions, including appointment scheduling, procedure scheduling, encounter registration system, hospital lab results and medical reports.
Knowledge of medical terminology.
