On a daily basis, perform patient counseling and scheduling for family planning and ensure prompt response to incoming calls.
Review physician schedules prior to the scheduled clinic day for appropriateness of schedule flow.
Answer telephones in a professional, courteous and timely manner. Obtain reason for patient visit and make appropriate referrals according to problem and physician subspecialty; give appointment time and date to patient by telephone or in person in accordance with established policies and procedures; enter and retrieve data using scheduling system.
Confirm appointments before patient visit.
Provide patients with financial information based on current fee schedule and OB/GYN financial policy.
Determine urgency of patient problem and schedule same day appointments when necessary.
Verify medical benefits for all patients prior to date of service.
Call insurance companies and verify coverage for all new patients and procedures.
Update payor information in scheduling system.
Assign medical record numbers to patients that are new to UCLA.
Counsel patients as to what to expect prior to their visit and instruct them appropriately.
Provide appropriate referrals to patients who are unable to receive services at UCLA.
Arrange for interpretation services as needed.
Assist with the coordination of patient's prior medical records and ensure that necessary records are available at the patient visit.
Act as a patient advocate and provide emotional support as necessary.
Fill in as Administrative staff at the front desk on an as needed basis.
Communicate appropriately with the Clinic Manager regarding pending and ongoing cases, appointments, and paperwork.
Assist the Manager in developing new programs, obtaining information about potential grants and funding.
Assist the Manager in program evaluation and performance improvement functions for patient care and education activities, including statistics and financial reports.
Assist the family planning faculty in grant writing and research.
Serve as a research coordinator and/or provide research support for research projects for the family planning division, as assigned.
Coordinate monthly family planning division research meetings.
Enter and track cases into Redcap; produce reports as needed.
Report data to the National Abortion Federation.
Perform other special projects as assigned.
Master of Public Health, Social Work, or equivalent highly desired. Baccalaureate degree required.
Passion for family planning and reproductive health required.
Ability to work independently and follow through with minimal direction to perform effectively with frequent interruptions.
Demonstrated ability to apply administrative skills in various functions in the clinic.
Interpersonal skills to interact with staff, physicians, patients, and other internal and external customers.
Excellent customer service skills and ability to interact with patients facing difficult life circumstances.
Excellent communication skills, both oral and in written English.
Computer knowledge to include use of Word and Excel.
Organizational skills to maintain office systems and records.
Demonstrated ability to establish cooperative working relationships.
Ability to function effectively as a member of a team.
Spanish-speaking a plus.
