Steamboat Springs Chamber is looking for a team player to help us carry out our mission of supporting, encouraging and sustaining a vibrant, healthy economy in Steamboat Springs and surrounding areas.
Overview: The Administrative Operations Manager is responsible for coordinating and organizing office management and support as well as managing the operations and staff of the Visitor’s Center and Yampa Valley Regional Airport Information Booth. This position reports to the CEO.
The job includes but is not limited to:
• Create and send the Monday Minute weekly newsletter to the appropriate mailing lists.
• Schedule, announce, prepare, attend, and record all committee meetings including Board of Directors, Marketing Committee, Local Marketing District, Economic Development Council, Lodging Association, and any other requested by the CEO.
• Maintain and distribute meeting minutes.
• Manage committee rosters and coordinate correspondence as needed.
• Responsible for the implementation and management of procedures for community programs including, but not limited to, Lincoln Ave Banner Program and the Member to Member Discount Program.
• Help the Public Relations Manager with the implementation and management of comp lodging reservation procedures.
• Scheduling and management of content and distribution of all Young Professionals Network emails including the YPN Newsletter.
• Work with the Membership Manager to manage updates and submission of publication grids including the Relocation Guide and Visitors’ Guide.
• Provide membership support in Simpleview (CRM Software) by completing traces as assigned, generating reports as requested and updating membership information.
• Management of Visitor Center staff to include training, scheduling and supervising daily reconciliations.
• Responsible for the negotiation and management of building maintenance and office supplies.
• Manage brochure inventory and oversee brochure placement and delivery.
• Maintain records of Visitor Center statistics and distribute as requested.
• Negotiate terms and coordinate the purchase and selling procedures of passes/tickets/permits available in Visitor’s Center with local and state organizations.
• Manage Visitors’ Guide and Relocation Guide requests, including distribution.
• Develop and distribute Weekly Happenings Handout and Lodging Barometer reports.
• Assist with Chamber functions, including membership and special events as needed.
• Update electronic sign out front accordingly to include upcoming events and happenings.
• Manage bulk mailing procedures, supplies and bulk mail account.
• Inventory and order supplies, including office, cleaning and building maintenance supplies.
• Operate and maintain office machines, including phone system and directories.
• Retrieve and distribute daily mail.
• Maintain postage records and meters.
• Schedule ribbon cuttings and manage photos.
• Make sure the cleaning crew comes once a week.
• Provide support for CEO and all staff as needed.
