Position Name: Administrative Assistant, Construction Project Assistant.
Job Requirements: Microsoft/Excel Capabilities. Letter Writing/Email, Construction Management Experience, Real Estate Experience, attention to detail. Proficient in utilization of Mac computer and software.
This position provides administrative and clerical support to our project management team. Performing a multitude of project and office administration tasks to assist moving construction projects toward completion. This includes preparation and distribution of collateral, hard and soft copy file management, data collection, proofreading, research, team collaboration and performance on a variety of administrative support duties on tight deadlines. Essential duties and responsibilities include the following:
Assist Project Management team members with a variety of assignments including estimating, bidding, contracting and closing projects. Type and proofread proposals, change orders, subcontractor work agreements, master agreements, AIA contracts, meeting minutes, and change orders to clients and subcontractors. Create and maintain Change Order logs. Create and maintain Submittals and logs. Manage the close out process after project is complete. Draft invoices to clients including spreadsheet documentation, collecting and collating lien releases and distribution. Maintain and keep organized hard and soft-copy project files. Interact directly with the office administrative team, accounting, subcontractors and clients. Perform special projects as needed and other duties as assigned or requested.
High school diploma and a minimum of 4-6 years administrative clerical experience in a professional office environment is required. Prior construction industry experience preferred. Must demonstrate the ability to write and prepare documents free of punctuation or grammatical errors. Intermediate to advanced skill level in Microsoft Office, Word and Excel is essential. Must be able to work in a fast-paced environment with the ability to prioritize the work load and meet deadlines. A professional demeanor and customer focus are crucial skills for this position.
